Effective and ethical
communication is important in work place communication (Lehman 2013). The communication
satisfies needs both of work and private life. Communicating effectively helps
to convey the recipient properly, effectively and clearly. Spelling and grammar
mistakes are also another crucial segment of email and other types of work
communications such as office memos and formal internal communication channels.
E-mail communication is one of the important communication channels using much
organization because it’s fast and effective communication method in modern
era. “A company’s
professionalism can be managed in the emails it transmits to clients and
community partners” (online
Athens 2013).In the office communication e-mails proofread is very important
because it will avoid and prevent accidently sending the unfinished messages.
Providing a useful subject line is also another important key area of sending
emails. It will ensure the sender get idea about the subject of the e-mail and
it will help for the further reference to that. Using appropriate grammar spelling and
punctuation also help to avoid miscommunication happen in the workplace. One
letter or gaps between letters can make significant meaning change with in the
sentence and that will collapse the business representation within the
organization. Avoiding the jargons and technical words selectively help
communicating well in the e-mail communications.
When communicating with the email in the work place that can be for a customer
or for another organization needs to be aware the content of the message. In
the email communication with its important to have additional information such
as contact details, methods of contacts such as phone number, fax numbers,
street address and company website play an important role in effective
communications via e-mails. At the end of the email use the digital signature
and the position details are also important because sender always look at the
person’s status and respond accordingly. This
will ensure the recipient gets the right message and person responds
accordingly. The disclaimer notice also helpful in e-mail communication because
if any person outside of the organization get virus with the email recipient
can sue the entire organization. Communication ethically is also very important
in email communication sending viruses to others is not ethical within the
organization. One of the other important area to remember is distinctions of
verbal communication such as facial expressions and personal feelings or voice
levels cannot be conveyed via e-mail communication in the work place. The
primary aim of the ethical communication in business includes the law, telling
the truth, give the right opinion are few important areas in ethical communication.
Clear communication, using inclusive language and giving credit when necessary
are also included in the ethical communication in the workplace. In summary end
rumours about the others and attack rumours about yourself are the key areas
that ensures communicating ethically within the organization. Above discuss key
points are the suggestions for the effective ethical organizational
communication and it will encourage the proper and professional communication.
